Creating PDFs / XPS with Microsoft Office 2007

With Office 2007, it is now possible to export PDF (Adobe Reader) or XPS (XPS Viewer) your documents whatsoever (letters, reports, tables, presentation, etc.).. For this, a simple add-on to download, print a few settings and voila.

Adding module export PDF / XPS

To export your documents to PDF (or XPS, although it is less convenient than the first for reasons that I will below), you simply download the extension follows:

Download: Additional Microsoft Office 2007 - Save as PDF or XPS Microsoft (requires a validation Genuine)

Once installed, open the document of your choice that you want exported under one of these 2 formats.

Whatever the software suite Office, the principle remains the same:

  • Click the Office;
  • In the Save As menu, choose PDF or XPS;
  • A traditional recording window opens: choose the location where to save the document, set the options to your liking, then click Publish;

Printing Options

Why talk about printing while nothing is actually printed?

Export to PDF / XPS requires the use of a printer called "virtual" operating as a traditional printer, the only difference that the final product does not use paperless but a file on the hard disk.

The printer remains nonetheless configurable and so we will see how to improve the quality of exported files.

Go to the Control Panel and then double-click on the module Printers (Display classical mode).

There you will notice the emergence of a new printer: Microsoft XPS Document Writer.

For the set, right-click Options and then printing.

For the first printer, Microsoft XPS Document Writer, click Advanced in the Layout tab.
You can now choose the format of paper from a considerable list, on or off the Interlace, but more importantly set the format images knowing that the list is proposed in an ascending order of quality (PNG - Compression without loss is better than JPG -- Compression maximum).

For documents low size (number of pages, slides or tables below 10, for example) prefer quality at the expense of the weight of the final file.
But if your core document contains a lot of photos then pay attention to the weight of the resulting file (important if you intend to send by e-mail attachments that are often limited by weight, or simply that it is not too long to open).
You try and adapt to suit your needs best is to carry out several tests of comparison.

PDF or XPS?

The PDF is the format using Adobe Reader and is the international standard, most computers with the program.

The XPS is a new format introduced with Office 2007 to compete with PDF. However, it is not very convenient to use, it is not recognized by Adobe Reader and using a viewer… running Internet Explorer.

You will understand, my preference is for Adobe Reader, very comprehensive, reliable and used by everyone but also much easier to use.

    It is true that the XPS format has been in existence for one year and Microsoft has still not out of add-on so that we can play with Mozilla Firefox and Safari. By cons, XPS has the advantage of being a free and open format even if Microsoft did not put so forth.
